Terms & Conditions
These Terms & Conditions form the basis of the contract between you and Infinite Retreats Limited (“Infinite Retreats”). Please read them carefully. By paying your deposit, you irrevocably agree to these terms.
1. Reservations and Deposit
A £500 deposit is required to confirm your booking, payable within 5 days of booking via our website or by direct payment. An invoice will be sent for your records. If the deposit is not received within this timeframe, your booking will be subject to cancellation. The balance is due 8 weeks before your retreat start date. For bookings made within 8 weeks of the start date, full payment is required within 5 days or before arrival, whichever comes first. Upon receiving your deposit, we will confirm your booking via email. Please check the booking details carefully and contact us at infiniteretreatsuk@gmail.com if any corrections are needed. Your £500 deposit is non-refundable, except under specific conditions detailed below.
If you select a shared room option, your sharing partner must confirm their booking and pay their deposit within 5 days of your booking. For group bookings, you confirm you have authority to accept these terms on behalf of your group. Once full payment is received, you will receive a Consent/Waiver form and health questionnaire via email, to be completed and returned within 5 days.
2. Balance Payment
The balance of your retreat cost is due 8 weeks before the start date. For bookings made within 8 weeks of the start date, full payment is required within 5 days of booking or before arrival, whichever is sooner. If the balance is not paid on time, we reserve the right to cancel your booking and retain the deposit. For cancellations within 8 weeks of the retreat start, we retain 60% of the total retreat cost. For cancellations within 4 weeks, we retain 100%. Any bank charges incurred when paying are your responsibility.
3. Cancellation / Modifications by You
(a) Cancellation
You may cancel your booking at any time, but refunds will be subject to the schedule below. Cancellation must be received via email to infiniteretreatsuk@gmail.com. Cancellation fees apply as follows:
- More than 8 weeks prior: Deposit is non-refundable.
- Less than 8 weeks but more than 4 weeks prior: 40% refund of total payments, minus a £50 admin fee.
- 4 weeks or less prior: No refund available.
If your cancellation impacts the room type or price for remaining guests in your party, Infinite Retreats reserves the right to adjust accommodation or pricing as needed, with any applicable supplement due within 24 hours. Any travel or accommodation costs outside the retreat are not refundable by Infinite Retreats.
(b) Illness or Injury
If a medical condition arises within 8 weeks of the start date, preventing you from attending, you may request a transfer of your deposit (minus irrecoverable expenses) to another Infinite Retreat within 12 months. This option requires a medical certificate and is subject to availability.
(c) Modifications
If unforeseen circumstances prevent your attendance, it may be possible to transfer your booking to a third party upon request. Alternatively, you may request to transfer to another Infinite Retreat within 12 months. Upgrading accommodations is possible, subject to availability and additional cost, though downgrades are not refundable.
(d) COVID-19 Policy
If you or a guest in your party cannot attend due to a positive COVID test, a false positive, or a requirement to self-isolate, the retreat fee remains non-refundable. However, you may propose a substitute participant, subject to approval. If COVID issues arise after the start of the retreat, requiring a participant to leave, no refunds will be issued.
4. Modifications by Infinite Retreats
While rare, some modifications to your retreat may be necessary. We reserve the right to make adjustments to accommodations, activities, and staff. In the unlikely event of a major change, you will be offered the choice of accepting the modification, transferring to an alternative retreat of comparable value, or canceling for a full refund. Refunds are limited to the cost of the retreat and do not cover travel or other external costs.
5. Cancellation by Infinite Retreats
We reserve the right to cancel a retreat up to 8 weeks before the start date if minimum guest numbers are not met. In this case, we will provide a full refund or offer an alternative retreat if available. Refunds do not cover additional travel costs. If the cancellation is due to force majeure (e.g., natural disaster, pandemic), the refund will exclude any unrecoverable expenses.
If a balance payment is not received on time, Infinite Retreats may cancel the booking, retaining the deposit. All bank charges associated with refunds are your responsibility.
6. Price Changes
Prices may vary due to changes in costs or government regulations. If any increase exceeds 10% of the original price, you may cancel and receive a full refund. This refund excludes any additional travel or accommodation costs outside the retreat.
7. Miscellaneous
(a) Force Majeure
Infinite Retreats is not liable for cancellations or modifications due to events beyond our control, including but not limited to war, civil unrest, strikes, pandemics, or natural disasters.
(b) Formalities & Insurance
You are responsible for ensuring you have valid identification, appropriate visas, insurance, and vaccinations.
(c) Valuables
Infinite Retreats is not responsible for theft or damage of personal property. Please ensure you have adequate insurance coverage.
(d) Extra Activities
Any additional activities offered by third parties are outside the responsibility of Infinite Retreats. All contractual obligations lie between you and the activity provider.
(e) Complaints
If you encounter issues during your retreat, please inform on-site staff immediately. If unresolved, submit a written complaint to infiniteretreatsuk@gmail.com within 28 days of retreat completion.
(f) Responsibility
Images on our website are for illustration only. Infinite Retreats acts as an intermediary for services provided by suppliers, and we assume no liability for injuries, illnesses, or losses incurred by participants during any third-party activities.
8. Health and Wellbeing
You must complete a health questionnaire upon booking. Please take full responsibility for your safety during retreat activities. Any health concerns should be discussed with a healthcare professional in advance, and Infinite Retreats should be informed of any relevant medical conditions. Infinite Retreats is not liable for injuries that occur during the retreat.
9. Photography and Media
Infinite Retreats may photograph or record participants during the retreat, with all rights reserved. By participating, you consent to the use of such media in Infinite Retreats’ marketing, social media, and promotional materials.
10. Retreat Etiquette and Dress Code
Participants are asked to wear appropriate attire during retreat activities. Infinite Retreats is a mixed-gender retreat, and we ask that attire remains respectful to all guests and cultures. Infinite Retreats reserves the right to address any attire concerns with guests during the retreat.
11. Governing Law
This contract is governed by English law and is subject to the jurisdiction of English courts.
